    OUR NEED

    On July 1, 2020 we launched into a new strategic period where we plan to grow an average of 30% per year by 2025. A critical aspect to the planned growth is the retention and development of a diverse and remote team. We are seeking out a part-time HR professional who will contribute to achieving this goal by continually improving the benefits experience of our staff and enabling Plant With Purpose to provide a fresh and progressive set of holistic benefits; and diligently ensuring that our people operations remain in compliance with federal and state laws. As a member of the People & Culture team, we are looking for a team member who approaches their work with creativity, a growth mindset, and love and care for their colleagues. This role will be a blend of strategy, systems maintenance, and continuous improvement.

As such, you might be looking for a part-time role to keep your resume fresh, stay up-to-date in the HR field, and/or need the extra income during your break from a full-time role.     EMPLOYMENT DETAILS

    Location: Remote (San Diego preferred but not required)

    Type: This is a non-exempt, 6-month part-time contracted position, with possibility for extension in increments to be determined

    Time Commitment: Workload is approximately 15 -20 hours per week, but may be more or less depending on the season.

    Reports to: V.P. Finance & Administration

    Level: Professional

    Salary Range: $24.00 - $31.25/hour USD. Offer will be based on a market rate criteria of experience, qualifications, and geographic location.

    Benefits: Based on the contracted terms of this position, benefits are not included at this point.

    Travel Expectations: Visits to San Diego office: If located outside of Southern California, 1-2 trips per year may be requested for in-person staff events.

    CORE RESPONSIBILITIES

    You will report to the V.P. of Finance & Administration. Your responsibilities will include but are not limited to: 

    Employment Law Compliance

    • Ensure Employee Policy Manual (aka Employee Handbook) is in compliance with applicable multi-state laws (e.g., multi-state handbooks; or out-of-state addendums to core Policy Manual)
    • Ensure the compliant and effective administration of employee requested leaves of absence managed in compliance with federal and state laws.
    • Ensure HR policies are in compliance with federal and multi-state laws. Collaborate with employment lawyers to update and revise as necessary
    • Manage state payroll tax registration (for each new out-of-state employee) and account management when hiring an employee in a new state; submit information to payroll
    • Manage independent contractor system; Ensure all documents are acquired, signed, and stored internally
    • Manage part-time contracted employee system

    Benefits Administration & Payroll Operations

    Improve the Benefits Experience of our staff members; manage the back-end data (Jostle, Ease, BambooHR); serve as the main point of contact with our Health Administrators

    • Perform research on health plan improvements and make recommendations to VPFA 
    • Manage health plan back-end data
    • Lead health open enrollment and collecting paperwork from staff; update HRIS for payroll deductions
    • Lead health enrollment process with new hires, working with Health Administrators to send information to new hires and complete their enrollment
    • Complete annual Form 5500 filing of 401K Plan 
    • Work with payroll team to reconcile payroll prior to approval; make 401k payments; and process and submit to Accounting payroll reports for all pay cycles
    • Maintain payroll information and records in line with legal requirements and best practices

    Information Systems Management & Technology

    • Digital Personnel Files Management in HRIS
    • Manage organization’s wiki hub
    • Manage and keep updated Job Description Database
    • Manage key organizational and human resources policies; ensure updated with current policies, laws, and brand
    • Manage the cloud system to collect and store consultant contracts, W9s, and 1099s
    • Process annual 1099s 

    General “People & Culture” Team Membership

    • Collaborate with the People & Culture department on matters of intentional culture building, staff engagement, activities

    WHAT WE'LL LOVE ABOUT YOU

    Education and Experience

    • Bachelor’s degree in Business with emphasis in Human Resources and/or completion of certificate in Human Resources
    • Minimum 5 years experience in HR functions of legal compliance, benefits administration, payroll, and database management
    • Comprehensive knowledge of federal and California laws and statutory requirements; current legislation, rules, regulations, and court decisions affecting human resource activities; and organizational human resources policies and procedures

    Preferred

    • At least one standard HR-field certification: PHR, SHRM-CP/SCP, payroll certification (CPP, FPC, or similar), etc
    • Experience with our internally-used cloud-based HR and organizational systems: BambooHR, Quantum Workplace, Hive project management software, Jostle, DocHub

    Other Required Skills

    • You have thorough knowledge of HR programs such as employment classification, compensation, recruitment, benefits, leave of absence administration, HRIS, employee relations, training and development, immigration and visa compliance, and policy development.
    • You love the legal and compliance sides of human resources so much you probably could have been a lawyer in another life
    • And as much as you love the legal stuff, you have a keen sense of discerning when there is space for flexibility
    • You are able to quickly respond to time sensitive benefit related inquiries while maintaining a high quality of work and attention to detail
    • We are a technology savvy, Mac-based organization. You must be skilled in using technology, including video conferencing systems that support meetings, coaching, and trainings.
      • Technology platforms you will use are: MacOS, Microsoft Office (Excel, Word, Powerpoint), Google Workspace, Hive, Jostle, Quantum Workplace, BambooHR, Divvy
    • You keep current on developing trends in Human Resources in order to provide thoughtful analysis and subject matter expertise
    • You have the ability to display sound judgment and discretion in dealing with complex and sensitive personnel issues of a confidential nature
    • You have a demonstrated ability to deal with challenges or events that do not always have a process, system or solution in place
    • You have strong project management skills, and the ability to initiate, self start, work independently, and seek out solutions
    • You are innovative and willing to take risks in boldly presenting ideas for experimentation and implementation
    • You think with a whole-system's lens when implementing a piece of it
    • You have effective interpersonal skills and the ability to interact comfortably with people across differences, individually and in a group setting. 
    • You have a demonstrated ability to develop and maintain effective and positive working relationships, internally and externally. 
    • You are willing to work over your agreed-upon hours per week seasonally, as needed and discussed in advance
