    Summary

    The HR Coordinator will provide administrative support to ensure efficient and accurate completion of a broad variety of duties and tasks related to active employees and affiliates supporting all facets of the department. This position interacts with many individuals at a variety of levels within and external to the organization. The position also serves as back-up to the front desk at the Institute and initial point of contact for visitors to the Institute, which may include scientific collaborators, guests, job applicants, board members, donors, and others.

    Primary Responsibilities

    • Monitor and respond to general and specific inquires including verification of information for a variety of requests to human resources.
    • Complete data entry, routing of HR requests, and completion of routine tasks to support the following, but not limited to: requisitions, job postings, new hire, intern, affiliate and workstudy onboarding, change of status, performance, benefits and leaves, training and development, employee relations, and separation.
    • Maintain relevant documents and information on HR Intranet, Manager Toolkits and department shared folders and updates guidelines, processes and procedure documentation for employee programs, events and activities for both departmental and public audiences.
    • Updates tracking spreadsheets for a variety of needs including training, onboarding, employment documents, etc.
    • Meet with onboarding and separating individuals as required. May meet with employees for routine benefits questions.
    • Creates e-files and personnel files as well as employee folders for onboarding and separation. Files documents appropriately.
    • Generates basic reports from various systems on a regular and ad-hoc basis.
    • Prepares check requests, obtains approvals and processes purchase orders and invoices for procured services or goods (relocation, computers, supplies)
    • Provides back up to the front desk reception area :
      • Greets and provides assistance to Institute visitors, which may include contacting employees when visitors arrive, providing directions to visitors attending seminars or other functions, and using diplomacy in responding to visitors and vendors
      • Answers multi-line phone and appropriately direct calls while providing basic information when needed
      • Applies postage to outgoing mail
    • Supports training, engagement and recognition programs, special events and projects as needed

    Required Experience

    • High School Diploma and two years’ relevant Human Resources experience or an equivalent combination of education, training and/or experience from which comparable knowledge, skills and abilities have been attained
    • Bachelor’s Degree preferred.

    • Possess strong attention to detail, analytical, time management, organizational, communication, and interpersonal skills
    • Professional proficiency in Microsoft Office
